Results
of the Special
Meeting of the SCA Unit Owners
Nichole Flippin was elected and Rodgerick Newhouse was
re-elected to serve three-year terms. Congratulations to them and a special
thank you to to Jim Purvis for three plus years of dedicated service.
We look forward to your assistance on the covenants committee as we commence the
bylaw restatement efforts next year.
Master
Insurance Policy
Please be advised that as of 10/26/11 the Association's master insurance
policy will be provided by Travelers. The insurance certificate is attached to
the back of the November
Shadoword newsletter and, as always, posted on the

December
Statements
Dear Shadowood
Unit Owners:
Some of you
have inquired about your December assessment statements. We thank you for your
concern and for being prompt payers and we apologize for the delay in processing
statements this month.
Please read
below for answers to your questions:
Did I miss
receiving my statement? No. December assessment statements were mailed on
December 5th.
Why are the
statements late? Creating and maintaining accurate account data is required
by contract and the law. The management agent is taking extra time to ensure
that all accounts are properly created and that the data and amounts are current
and accurate. This has taken more time than anyone anticipated and American
Management of Virginia apologizes for the delay.
When will the statements be mailed? Assessments
statements were mailed on December 5th.
Will I
receive my statement by email? If you subscribed for an estatement,
you will receive your statement notice by email.
Will I be
charged $10 for a mailed or printed statement? The Board has waived the $10
assessment for all October mailed statements only. As always, statements printed at
the office incur a $10 assessment and November emailed statements are free of
any charges.
Why do I
have to sign up for these services again? e-statements and ACH are
permission-based services governed by custom and the law. You previously
contracted to gave your permission to Advantage, not American Management of
Virginia. We must respect that permission and must ask for it again before
offering any e-services. This, of course, is not a board or management decision;
it is the law.
Will I still
have time to pay on time? Yes. The Board of Directors will likely review
the matter at its next meeting.
Will I be
assessed a late fee? No; provided your account was otherwise in good
standing but for the management agent delay in processing and delivering
statements.
How much is
the November assessment? Monthly maintenance assessments are the same this
month as last as the Cable TV and Internet assessment. Water/sewer; gas and
electricity assessments will be printed on the statements.
How do I
create a work order? For now, email
office@shadowoodcondos.com. After you have received your on-line account
credentials next week, please log into your account and create and manage work
orders there.
If I still
have questions, what do I do? Review the Association's covenants (to which
you and the Association are bound)
at the website. If your question has not been answered in this email or by
reviewing the covenants and governing documents, please
email the
management agent.
New
Management Agent
Shadowood is delighted to welcome
American Management of Virginia (AMV) as our new management agent as of
September 6, 2011. American Management brings decades of experience and
professionalism to Shadowood, has two large and growing local offices and brings
to SCA a broad-based staff of certified management and technical professionals
all at a lower cost than we were paying with the former management agent.
Each unit owner will be receiving a welcome letter from AMV shortly with
information on how to set up a new on-line account, transfer ACH and other
payments and subscribe for new on-line services. Few, if any, on-site changes
will occur. Please join us in welcoming AMV to Shadowood!
NOTE: For the safety of all unit owners,
ALL ACH payments handled by the former management agent
were cancelled. All September payments must be paid by the unit owner.
Again, NO ACH payments are being processed for September.
H2Options Water-Loss Program
H2Options, Shadowood's water-loss
management contractor, repairs tub, toilet, and sink leaks at no charge to either the Association, owners or tenants. If you have a faucet,
tub, sink or toilet leak, call 703-242-2201 to
schedule a FREE repair. As always, water emergencies
(floods) of any kind should be called in to Shadowood at 703-620-5444.
New,
Large Storage Rooms Available for Rent
The leadership team recycled more than 1000 large, useless Shadowood garbage cans being
hoarded in 74 common-element utility rooms freeing those rooms to be used for
storage and other purposes. A select number of these 10 x 14 rooms will be
available to lease for storage purposes (only). For more information and

Free Smoke and Fire Alarms;
Free "Batteries for Life"
Fairfax County offers free smoke and
fire alarms and
free batteries for them for life. Call the Fairfax County Public Information and Life
Safety Information office 703-246-3801 or the Fox Mill station at 703-860-2680 if you would like to take advantage
of this program. Please note that only
owners residing in their units qualify for these services. Landlords or
non-resident owners must provide working smoke alarms in their units and are,
unfortunately, ineligible for these programs.

Fire and
Rescue General information
All Units have heating OR air conditioning at any time
More information is available on the
HVAC upgrade page.
Heat pumps can heat or
cool at any time and at the occupant's choosing.
"No Heat or No Air Conditioning" service calls
are NEVER provided as emergency services after business hours and on
weekends. Only unit
owners, and not tenants, may authorize service calls,
and unit owners will be
assessed an administrative fee of no less than $35 per incident when no
emergency exists. Please
consider waiting to file a "No heat or no A/C" service call until normal business hours or
filing a work order for a/c service from
your personal account page.

The Shadowood energy-management system
manages all heat pumps and related controls. The energy
management system operates 24 hours a day, 365 days a year. See
SCA Policy Resolution 2010-02 for details. |
Special
price on 4-pack energy- and money-saving CFL light bulbs
The Leadership team has made available a specially priced set of four
compact fluorescent light bulbs for SCA residents. The 14-watt bulbs,
which produce as much light as a traditional 60-watt bulb, will save over
$57 worth of electricity and last ten times longer than energy-wasting
incandescent light bulbs. Best of all, these bulbs are priced at only
$5 per four pack. Available while supplies last at the clubhouse.
Please note that only checks or money orders can be accepted; cash or
credit cards cannot be accepted.
Car
Washing Area Permanently Closed
The SCA car washing area is permanently closed. Please remember that vehicle
washing, detailing or other vehicle maintenance is not allowed anywhere on the
SCA property at any time.
Reston Parking Restrictions

Visitor
and Guest Parking Available
Guest parking decals are available for purchase from the on-site management
office. Cost is $10 per day per permit. Checks or money orders (made payable to
"SCA") are accepted at the SCA office. No cash or credit cards can be accepted.
Payment Reminder
If you are sending your payment (either directly or via a bill-payment
service), it must be addressed to a PO Box in PHOENIX, AZ or it is going
to the wrong address. Although the board has waived some late fees and interest
in the past, because of recent court orders, the Board no longer has any
authority to waive any late fees. Your
payments in full must be received on or before the 15th or each month to be considered on-time.
PLEASE ensure that your account
number is on your check ESPECIALLY if you use a bill-payment service!
How Can You Help Shadowood Help You?
Simply by complying with the points
below, all of us will avoid future headaches and administrative fees, and
we will enjoy Shadowood as the great community it can be!

Provide the management agent with a copy of the declarations page of your homeowner’s or
renter's insurance showing your liability coverage--all those without proof of
insurance on file 30 days after moving into a unit will be called to a hearing
where services (including air conditioning and parking)
will be suspended. As a reminder, tenants must have their own, separate
liability insurance and may not be declared as
additional insured on landlords' policies.
- Updated
Address. Make sure
the management agent
has
the correct mailing address for your billing statements, particularly if you
live off site.
- Water
Leaks? Promptly report
to the SCA office any
leakage or water issues that you notice. The association provides
FREE leak repairs.
- Smoke
Alarms. Make sure your smoke alarms are
functioning properly and have fresh batteries or live connections to a power
source. If your smoke detectors are part of an alarm system, please provide
the Shadowood office with evidence of the connection and any special testing
requirements for your unit.
- Pets.
Keep the office updated with current information on any pets housed in your
unit; keep your pets' vaccinations
current and pay your required Shadowood pet fees.
- Renting your unit to tenants?
Keep the office updated and copied on status and documentation of any tenants
residing in your unit.
- Current
Vehicle Registrations. Notify the office if you
are in the military AND have an active-duty assignment at Ft. Belvoir or have
non-Virginia license plates or a legal excuse from having updated registration
and a valid inspection sticker for your automobile(s), so that you won’t run
the risk of being towed. Please notify the office immediately of lost/stolen
SCA parking decals.

Trash and Recycling.
Place your trash and recycling materials IN a dumpster, NOT
on the ground. If the dumpsters are full in your area, you must go to another
dumpster on the property. It is NEVER acceptable to place
trash or recycling materials on the ground.
