Special Meeting of the SCA Unit Owners Results

Mr. Olivia was re-elected to a three-year term.

22 door prizes were awarded. All who attended the meeting received gifts, enjoyed a most pleasant evening and celebrated with great food, beverages and community.

Utility Services -- TV and Internet Enhancements!

Effective 1 November 2009, among others enhancements, the following will be included in the SCA utility package:

  1. Digital, enhanced/expanded services of more than 225 channels
  2. One digital converter box for each unit
  3. On Demand service with thousands of free and pay movies, shows and tutorials on demand
  4. Free connections for other cable-ready TVs in each unit
  5. One remote control for each unit
  6. High-Speed Internet service for each unit
  7. One cable modem for each unit
  8. One high-speed internet connection to a computer in each unit
  9. Free installation and maintenance
  10. Billing through SCA
  11. Closed circuit Shadowood TV on channel 970

As a reminder, and as with all SCA-provided utilities, the bulk pricing is for all 450 Shadowood units; there is no option to be excluded from the services or charges.


Air conditioning is being turned on in units with legacy systems --

Heat-pump units have heat OR air conditioning at any time

The legacy air-conditioning system is being restarted unit-by-unit through the end of May. The legacy heating system cannot be turned back on, so please do not call or email requesting it.
 
We cannot tell you when your legacy a/c unit will be activated, but more information is available on the HVAC upgrade page.

Units with new heat pumps can heat or cool at any time and at the occupant's choosing.

 
"No Air Conditioning" service calls are NEVER provided as emergency services after business hours and on weekends. Only unit owners, and not tenants, may authorize service calls, and unit owners will be assessed an administrative fee of no less than $35 per incident when no emergency exists. Please consider waiting to file a "No A/C" service call until normal business hours or filing a work order for a/c service from your personal account page.  All emergency calls must be reported by calling 703-620-5444.

Energy-Management System

As units are converted from gas to electric heat, the energy-management system will control operation of the heat pump and related controls. The energy management system now operates 24 hours a day, 365 days a year.


Car Washing Area Permanently Closed

The SCA car washing area is permanently closed. Please remember that vehicle washing, detailing or other vehicle maintenance is not allowed anywhere on the SCA property at any time.

Special Price on 4-pack energy- and money-saving CFL light bulbs

The Leadership team has made available a specially priced set of four compact fluorescent light bulbs for SCA residents. The 14-watt bulbs, which produce as much light as a traditional 60-watt bulb, will save over $57 worth of electricity and last ten times longer than energy-wasting incandescent light bulbs. Best of all, these bulbs are priced at only $4 per four pack. Available while supplies last at the clubhouse. Please note that only checks or money orders can be accepted; cash or credit cards cannot be accepted.

New Management Company Hired

The Leadership team is pleased to announce that Advantage Community Management has been hired under a multi-year agreement to manage Shadowood. Transition planning from Armstrong begins the last week of November with a January 1, 2009 completion.  Among many other positive and beneficial changes, please note the following:

  1. Members who pay assessments by direct debit will have to re-enroll in the new bank's program.
  2. The entire balance due will be debited each month from accounts for those using direct debit
  3. Members who use a bill-payment service will have to update the banking and address details.
  4. Credit card payments will be accepted beginning in January 2009.
  5. A new, real-time web-based account-management tool will be launched with much more information available about each account.
  6. Shadowood is going Green with electronic statement delivery through email to those who wish to receive them (and save the SCA a great deal of money).
  7. Most correspondence, including all Board meeting materials, will be created, managed and distributed electronically saving or eliminating paper, reproduction and delivery expenses.

More information on the transition will be communicated timely.


2009 Budget

The Shadowood Condominium Association Board of Directors voted unanimously and approved the final 2009 budget (find it here). Please note that the modest 10 percent increase in condominium fees will be allocated to funding increased spending on deferred maintenance, nearly $600,000 in contributions to reserves and for the large heating and air-conditioning (HVAC) upgrade project. Despite the increase, Shadowood's condo fees remain among the lowest in all of Reston, particularly among properties of our age, size and condition. New, Large Storage Rooms Available for Rent

The leadership team recycled more than 1000 large, useless Shadowood garbage cans being hoarded in 74 common-element utility rooms freeing those rooms to be used for storage and other purposes. A select number of these 10 x 14 rooms will be available to lease for storage purposes (only). For more information and pricing, please email the leadership team.


Clubhouse is Available for Unit Owner Rentals

After an extensive renovation period and code-upgrades, the SCA Clubhouse is now available for unit owners to rent for private parties. Please see the Governing Documents page for rules and regulations on clubhouse rentals. Contact the site office for current pricing, rental contracts and to inquire about available times and dates.


Heat is Off; Air Conditioning is now On

The air conditioning is now on, so please do not call or email the office staff requesting heat as it cannot be turned back on. Air-conditioning privileges are now available to all unit owners in good standing and with current accounts.


Unit Owner Status Reports (UOSR) / 2008 Parking Registration / Guest Parking

As part of your Board of Directors' plan to streamline operations, provide a positive customer-service experience and to eliminate wasteful spending on postage, envelopes and staff time, unit owner status reports were mailed to all off-site owners and hand delivered to all on-site owner-occupants during the last week of March

Parking registration materials will be included in the on-site deliveries to all 450 units.  Please read the accompanying letter for details.  Important Notes:

  1. All owners MUST file a 2008 UOSR BEFORE 2008 parking decals will be issued.  This applies whether a unit is occupied by its owner or rented to others.
  2. Evidence of liability insurance MUST be current and on file before decals will be issued.  Applications for insurance are NOT acceptable.
  3. You must bring both your driver's license AND vehicle registration to obtain 2008 parking decals.
  4. With VERY few exceptions, all vehicles parked on the SCA property must be titled and registered/licensed in Virginia with Fairfax County property taxes paid before 2008 parking decals will be issued.
  5. Guest parking passes will be available at $10 per pass per day; NO CASH or credit cards accepted!

Free Smoke and Fire Alarms; Free "Batteries for Life"

Fairfax County offers free smoke and fire alarms and free batteries for them for life. Call the Fairfax County Public Information and Life Safety Information office 703-246-3801 or the Fox Mill station at 703-860-2680 if you would like to take advantage of this program. Please note that only unit owners, not tenants, may request these services. All tenants must contact their landlord or property manager for smoke and fire alarm assistance.

Visitor and Guest Parking Available

Guest parking decals are available for purchase from the on-site management office. Cost is $10 per day per decal. Checks or money orders (made payable to "SCA") are accepted at the SCA office. No cash or credit cards can be accepted.


Payment Reminder

If you are sending your payment (either directly or via a bill-payment service), it must be addressed to a PO Box in PHOENIX, AZ or it is going to the wrong address.  Although the board waived some late fees and interest during the Armstrong to Advantage Community Management transition, no further waivers are being granted; your payments must be received on or before the 15th or each month to be considered on-time.  PLEASE ensure that your account number is on your check ESPECIALLY if you use a bill-payment service!


SCA TV Channel -- Channel 10

Please be sure to frequently check Comcast Channel 10 if you live live on the property for important and current news. Off-site owners may visit The SCA TV CHANNEL link on the website for all others.  The content will be visible on the large display in the clubhouse during office hours and meetings.

All residents may place free advertising, including rentals, on the TV Channel. Paper ads may no longer be posted in the SCA Clubhouse.

FREE FIRE AND SMOKE ALARMS! Fairfax County offers free alarms and batteries for life. Call the Fairfax County Public Information and Life Safety Information office 703-246-3801 if you would like to take advantage of this program. You may also call the Fox Mill Fire Station at 703-860-2680 and either get a free alarm or have someone from the fire station install one for you

Special Meeting of the Unit Owners Results

At the Special Meeting of the Shadowood Condominium Association Unit Owners held on Saturday, December 2, quorum was established, evidence was presented, and the unit owners voted to remove lois lynch from her director's seat and preserve the evidence among the permanent SCA records.

Michael Santos was legally and properly appointed by the Board of Directors to fill the seat opened by lynch's removal.

The results of the vote on lynch were as follows:

How Can You Help Shadowood Help You?

Simply by complying with the points below, all of us will avoid future headaches and administrative fees, and we will enjoy Shadowood as the great community it can be!

  • Proof of Insurance.  Provide the office with a copy of the declarations page of your homeowner’s or renter's insurance showing your liability coverage--all those without proof of insurance on file 30 days after moving into a unit will be called to a hearing where services (including air conditioning and parking) will be suspended. As a reminder, tenants must have their own, separate liability insurance and may not be declared as additional insured on landlords' policies.
  • Updated Address.  Make sure the office and Armstrong Management have the correct mailing address for your billing statements, particularly if you live off site.
  • Water Leaks?  Promptly report to the SCA office any leakage or water issues that you notice.  The association provides FREE leak repairs.
  • Smoke Alarms.  Make sure your smoke alarms are functioning properly and have fresh batteries or live connections to a power source. If your smoke detectors are part of an alarm system, please provide the Shadowood office with evidence of the connection and any special testing requirements for your unit.
  • Pets.  Keep the office updated with current information on any pets housed in your unit; keep your pets' vaccinations current and pay your required Shadowood pet fees.
  • Renting your unit to tenants?  Keep the office updated and copied on status and documentation of any tenants residing in your unit.
  • Current Vehicle Registrations.  Notify the office if you are in the military AND have an active-duty assignment at Ft. Belvoir or have non-Virginia license plates or a legal excuse from having updated registration and a valid inspection sticker for your automobile(s), so that you won’t run the risk of being towed.  Please notify the office immediately of lost/stolen SCA parking decals. 
  • Trash and Recycling. Place your trash and recycling materials IN a dumpster, NOT on the ground.  If the dumpsters are full in your area, you must go to another dumpster on the property. It is NEVER acceptable to place trash or recycling materials on the ground.

Insurance Required of ALL: Tenants, Landlords, and Resident Unit Owners

The fourth amendment to the by-laws of the Association has been ratified and recorded among the land records of Fairfax County Virginia.

All unit owners are required to carry liability insurance. This applies whether a unit owner resides in Shadowood, leases his or her unit to others of the the unit is vacant.  As always, tenants must carry liability insurance.

Failure to maintain (or obtain) insurance will subject unit owners to hearings, suspension of rights, services and privileges and other administrative fees.


H2Options Water-Loss Program

H2Options, Shadowood's water-loss management contractor, has been through 100 percent of our condos and has repaired many leaks at no charge to either the Association, owners or tenants. Please cooperate and allow H2Options staff into your unit. Contractors are typically on the property Tuesday and Thursday evenings and Saturday mornings. You may schedule an appointment for a specific day and time by calling H2Options at 703-242-2201.

If you have a faucet or toilet leak, call 703-242-2201 to schedule a FREE repair. As always, water emergencies (floods) of any kind should be called in to the Shadowood management office at 703-620-5444. The phone is answered 24 hours a day.
